POL-01Flexible working policy

Remote working

Employees may work remotely up to two days each week, subject to manager approval. Remote working requests must be submitted at least one working day in advance.

FIN-02Expense claims guide

Submission and review

Expense claims must be submitted within 14 days of spending. Receipts are required for claims above NGN 5,000. A line manager reviews claims before finance approval.

SEC-03Project information access

Client document permissions

Client documents may only be viewed by colleagues assigned to the project. The project owner approves access requests. Confidential client records must not be pasted into public AI tools.

AI-04Responsible assistant use

Sources and human review

An assistant response must identify its source documents. If the approved library does not contain the requested information, the assistant should say so. Staff must review the original source before making a decision.

What changes in an organisational solution?

A production knowledge assistant needs agreed source ownership, document permissions, a retrieval and model strategy, evaluations, monitoring and human review. Those requirements are assessed against the organisation’s context.
